Microschool Ledger (“MSL”, “we”, “us”) provides software for microschools, homeschool co-ops, private schools, and similar education programs (“Schools”). This Privacy Policy explains what information we collect, how we use and share it, and the choices available to Schools, School staff, parents, guardians, applicants, and other users.
This policy applies to the public website, the MSL application, School admin accounts, parent or family portals, application and interest forms, payment links, invoice pages, family-information confirmation pages, RSVP pages, communications sent through MSL, and related services.
MSL primarily acts as a service provider to Schools. Each School controls the family, student, applicant, enrollment, billing, payment, scholarship, communication, and operational records it enters, imports, or collects through MSL (“School Data”). We process School Data to provide and support the service for the School.
If you are a parent, guardian, applicant, student, or family member using MSL through a School, the School generally controls your records. Requests to access, correct, dispute, or delete School records should usually be directed to the School. We may help the School respond to those requests.
We collect information about School accounts and Authorized Users, such as names, email addresses, authentication information, roles, permissions, access-list information, billing or subscription information, support communications, audit logs, device/browser information, IP address, and activity in the service.
Schools and Authorized Users may enter or import School Data, including family and student names, contact details, portal access emails, enrollment and program information, tuition charges, payment history, invoices, receipts, scholarship records, expenses, admissions leads, applications, checklist status, document metadata, field-trip RSVPs, communication preferences, email/SMS consent fields, and related notes or operational records.
When parents, guardians, applicants, or family members use parent-facing MSL pages, we may collect information they submit or generate through those pages, such as contact details, student or applicant information, application answers, interest-form responses, document-upload metadata, family-profile updates, email and SMS consent choices, RSVP responses, payment-link activity, portal sign-in activity, IP address, user agent, timestamps, and support communications.
When a Family User makes an online payment, payment details are processed by payment providers such as Stripe. MSL does not store full credit card or bank account numbers. We may store payment metadata needed to show receipts, reconcile payments, update invoices, record balances, troubleshoot payment issues, and support the School.
MSL may process information about students or children when a School, parent, guardian, or applicant provides it for School-authorized purposes such as admissions, enrollment, billing, scholarship tracking, invoicing, document collection, field trips, family portals, family communications, and operational reporting.
MSL does not use student or child information for behavioral advertising and does not sell student or child information. When MSL processes student or child information for a School, we use it only to provide, secure, maintain, support, and improve the service for School-authorized purposes. Parents and guardians who want to review, correct, or delete student records should generally contact the School first.
We use information to provide and operate MSL, including to host and secure School records; manage accounts and permissions; support parent portals and payment links; generate invoices, statements, reports, exports, reminders, and receipts; process payments through third-party providers; support admissions, enrollment, field trips, communications, and family workflows; reconcile data with integrations; provide customer support; troubleshoot issues; prevent misuse; maintain audit and security logs; and comply with legal obligations.
We do not sell personal information. We do not use School Data, family data, applicant data, or student data for third-party advertising. We may use aggregated or de-identified information to understand usage, improve reliability, prioritize features, and improve the service, provided it does not identify a School, student, family, applicant, or individual user.
Where a School chooses to connect its QuickBooks Online (“QBO”) company, MSL accesses QBO through Intuit’s authorized API using OAuth 2.0. With the School’s authorization, we may read customer, parent, student, payment, and accounting records to reconcile them with the School’s MSL records and, at the School’s direction, create or update customer or related records in QBO.
We request only the scope needed for supported accounting features. We do not access QBO data for a School that has not connected its account. A School may disconnect QBO at any time, which revokes our access. We store OAuth tokens needed to maintain the connection in encrypted, access-controlled storage and do not expose those tokens to Family Users or other Schools.
Where a School uses online payments, payment processing may be provided by Stripe or another payment provider. Payment providers may collect payment card, bank, wallet, billing, device, fraud-prevention, and transaction information under their own terms and privacy policies. MSL receives and stores payment metadata needed to show payment status, receipts, invoices, balances, reconciliation, and support.
Schools may use MSL to send email, SMS/text messages, and other communications related to admissions, enrollment, invoices, payments, family records, field trips, reminders, program operations, campaigns, and other School-authorized purposes. We use contact information to send those messages on behalf of the School.
Where a family opts in to SMS/text messaging — by actively checking the SMS consent box on a School’s enrollment, interest, or family-information form — we use their mobile phone number only to send School-related text messages, such as tuition reminders and payment notices. Message frequency varies and message and data rates may apply. Recipients can reply STOP to opt out at any time, or HELP for help. We do not sell or share mobile phone numbers, SMS opt-in records, or SMS consent information with third parties, and mobile information is never shared with third parties for their own marketing purposes.
Marketing or campaign emails sent through MSL may include an unsubscribe link. Operational or transactional messages may still be sent where permitted and appropriate, such as payment receipts, invoices, account access links, application confirmations, or School-required notices.
MSL may use cookies, browser storage, authentication tokens, device identifiers, logs, and similar technologies to keep users signed in, remember settings, operate the service, secure accounts, prevent abuse, troubleshoot issues, and understand service performance. We do not use third-party advertising cookies to target ads based on School Data or Family User activity in MSL.
We share information only as needed to provide and support the service, as directed by the School, as described in this policy, or as required by law. This may include sharing information with:
Data is partitioned by School and is not intentionally shared between Schools, except where a user is separately authorized by more than one School or where required for service operation, support, security, or legal compliance.
MSL relies on service providers and subprocessors to operate the service. These may include cloud infrastructure and database providers such as Google Cloud/Firebase, authentication providers, payment processors such as Stripe, accounting integrations such as Intuit/QuickBooks, our transactional email provider (Resend), SMS providers such as Twilio, logging, monitoring, support, and security tools. We authorize service providers to use information only as needed to provide services to MSL and our users, subject to their own legal obligations and agreements.
We retain School Data for as long as the School maintains an account or as needed to provide the service, comply with legal obligations, resolve disputes, maintain backups, prevent abuse, and enforce agreements. Schools may export or request deletion of their data, subject to legal requirements, backup retention, payment or accounting record needs, and reasonable technical limits.
Family Users who want records corrected or deleted should generally contact the School. We may retain limited technical, security, support, transaction, or legal records even after account closure where necessary and permitted.
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication, encryption in transit, per-tenant isolation, logging, and backup practices. No system is perfectly secure, and we cannot guarantee absolute security. Schools and Authorized Users are responsible for protecting their own accounts, devices, passwords, and access permissions.
Schools may export data, manage Authorized Users, configure integrations, disconnect supported integrations, update School settings, and request deletion or return of School Data. To disconnect a QuickBooks Online connection, a School administrator can do so in MSL or from within QuickBooks.
Authorized Users may update account information through the service where supported, or contact the School or MSL for help.
Family Users should contact their School to access, correct, dispute, or request deletion of School records. Family Users may use unsubscribe links in supported emails, reply STOP to supported SMS/text messages, or contact the School for communication-preference changes.
Depending on your location, you may have additional privacy rights under applicable law. To make a request to MSL, email info@microschoolledger.com. If the request concerns School-controlled records, we may refer the request to the School or ask for the School’s authorization.
MSL is operated from the United States. If you access the service from outside the United States, your information may be processed in the United States and other locations where our service providers operate.
We may update this Privacy Policy from time to time. If changes are material, we will use reasonable efforts to notify Schools or post notice through the service. Continued use of the service after an update means the updated policy applies.
